Create tasks in HubSpot to track follow-ups, calls, emails, meetings, and other activities that require action. Tasks can be associated with contacts, companies, deals, tickets, and other CRM records to help keep activity organized and visible across your team.

 Ways to Create Tasks

There are three common ways to create tasks in HubSpot:

  1. From a Contact record (recommended)
  2. From the Sales Workspace
  3. From the Tasks page

Create a Task from a Contact Record (Recommended) 

  1. Open the Contact record.
  2. In the activity timeline, click Create Task.
  3. Complete the task details:
    • Task Name
    • Task Type
    • Due Date
    • Task Owner
    • Task Notes (if applicable)
  4. Click Create.

The task is automatically associated with the contact record and will appear in the assigned user's task list.

Recommended: Create tasks directly from the Contact record whenever possible. This automatically associates the task with the correct CRM record and provides better visibility into customer interactions. 

 

Create a Task from the Sales Workspace 

The Sales Workspace provides a central location for task management and is useful when creating tasks outside of a specific CRM record.

  1. In your HubSpot account, navigate to Sales > Sales Workspace.
  2. Click the Tasks tab in the navigation menu.
  3. Click Create Task.
  4. Complete the task information.
  5. Associate the task with the appropriate CRM record.
  6. Click Create.

 

 Create a Task from the Tasks Page 

  1. Navigate to CRM > Tasks.create new task
  2. Click Create Task.
  3. Enter the required information.
  4. Associate the task with the appropriate CRM record.
  5. Click Create.

 


Task Types

When creating a task, select the task type that best represents the work being completed.

Common task types include:

  • Call
  • Email
  • To-Do
  • Meeting
  • Follow-Up

To maintain an organized and effective task management process:

Do

  • Create tasks directly from the Contact record whenever possible.
  • Use clear and descriptive task names.
  • Set realistic due dates.
  • Include task notes when additional context is needed.
  • Associate tasks with the appropriate CRM record.
  • Assign tasks to the correct owner.

Don't

  • Create duplicate tasks for the same activity.
  • Use vague task names such as "Follow Up" without additional context.
  • Leave tasks unassigned.
  • Create tasks without a due date.
