# How to Reschedule a Meeting in HubSpot

## When you need to move a meeting, update the existing event in your connected Google Calendar or Outlook calendar and send the change to attendees. With calendar sync active, edits to the calendar event also update the meeting on the contact’s HubSpot timeline.

### Before you begin

- Confirm that you are the event organizer and can edit the original invitation.
- Agree on a new date and time with attendees, including the time zone.
- Confirm that your Google Calendar or Outlook calendar is connected to HubSpot and calendar sync is active.
- Use the original event rather than creating a second invitation.

**Important:** Calendar sync uses your primary or default calendar. HubSpot does not support canceling or rescheduling through its connected Exchange calendar integration.

### Reschedule the meeting

1. **Open the original event in Google Calendar or Outlook.** Use the calendar account connected to HubSpot.
2. **Edit the event’s date and time.** Update the start and end times. Check the time zone and review the location or video link.
3. **Save the event and send the update to attendees.** Use your calendar application’s option to notify guests of the change.
4. **Verify the updated invitation.** Confirm that the original event now shows the agreed date and time.
5. **Check the HubSpot activity.** Navigate to CRM \> [Contacts](https://app.hubspot.com/contacts/45820880/objects/0-1), open the attendee’s record, and find the meeting on the activity timeline. Confirm that its date and time match the calendar event.

With calendar sync active, edits made in your calendar automatically appear on the contact’s HubSpot timeline. The attendee’s invitation address must match the address on their HubSpot contact record.

### Keep meeting tracking accurate

HubSpot includes a **Rescheduled** meeting outcome for reporting. Changing an outcome is not a substitute for updating the event and notifying attendees.

If your team uses this outcome, the documented steps are to open the meeting activity, select **Actions \> Edit**, choose **Rescheduled** from the **Outcome** menu, and save. These controls have not been verified against your current screen.

### Troubleshooting

#### The HubSpot meeting did not update

- Confirm that you edited the event on your connected primary calendar.
- Check that calendar sync is active.
- Confirm that the attendee’s invitation address matches their HubSpot contact record.
- Check whether the event is private. Private events do not sync. If a previously public event becomes private, subsequent changes stop syncing.

#### Attendees did not receive the change

Check that you sent the update from the calendar event. Do not rely only on changing the HubSpot activity. In particular, description edits made in HubSpot are only sent to attendees when the Google Calendar two-way integration is active. For Office 365, update the description in the calendar event.

#### You cannot edit the invitation

Confirm who owns the event. If another person is the organizer, ask them to update the original invitation rather than creating a duplicate.

Avoid duplicate or outdated invitations

**Do not delete the HubSpot meeting activity to remove the original invitation.** Deleting the activity does not remove the event from Google Calendar or Outlook. Update the existing event and verify the calendar and HubSpot details before considering the change complete.
