Use Tasks in HubSpot
Use the Sales Workspace to view, prioritize, manage, and complete your assigned tasks efficiently.
Once tasks have been created either automtacilly or manually they can be managed from the Sales Workspace. The Sales Workspace helps you organize your workload, prioritize follow-ups, and complete activities without navigating between multiple records.
Access Your Tasks
- Go to your Sales Workspace: https://app-na2.hubspot.com/prospecting/243067709
- Click Tasks in the navigation menu.
- On the left sidebar select the view labeled ✅ My Open Tasks / To Do:

The Tasks page displays all tasks assigned to you and provides tools to organize and manage your workload.

Completing a Task
- Open the task by selecting the associated record from the task list.
- Complete the required action.
- Mark the task as complete by either:
- Selecting Completed from the Task Stage dropdown, or
- Clicking the checkmark next to the task title.

Completed tasks remain associated with the record and are retained in activity history for reporting and reference purposes.
Edit a Task
- Open the task.
- Select Edit.
- Update the necessary task details.
- Save your changes.
Reschedule a Task
If a task cannot be completed by its due date:
- Open the task.
- Update the Due Date.
- Save the task.

Best Practice: Always update the due date rather than leaving tasks overdue.

Frequently Asked Questions
Why can't I see another user's tasks?
Task visibility is controlled by HubSpot permissions. If you need access to another user's tasks, contact your HubSpot Administrator.
Can tasks be created automatically?
Yes. HubSpot workflows can automatically create tasks based on defined automation criteria such as lifecycle stage changes, deal updates, ticket updates, and other workflow actions.
What happens when a task is completed?
Completed tasks remain associated with the record and are stored in the record's activity history for future reference and reporting.
